[IMDS]IMDS FAQ: How to Manage IMDS User Accounts and Contact Persons

IMDS User Account Creation

All users must use individual accounts in IMDS.
This is because one account cannot be used by multiple users at the same time, and each login requires a code through the authenticator app installed on the user’s mobile device.

User accounts can only be created using an account with 'Company Administrator' rights.

Below is the process to create a user account.

  1. Log in to IMDS with an account with company administrator rights, and go to the Administration > User menu.


    2. Click the Create button.



    3. Enter the user’s name, role, email address, etc., and click the Save button at the top.


    4. An automatic IMDS email will be sent to the entered email address. Use the temporary password in the email to log in to IMDS for the first time.

    ※ All information entered at the time of account creation can be modified afterward.
    ※ It is recommended to create at least two company administrator accounts to ensure role separation or backup in case of absence.



    IMDS User Account Deletion

    If a responsible person resigns or changes roles, their account must be deleted.

    User account deletion can also only be performed by accounts with 'Company Administrator' rights.

    Below is the process to delete a user account.

    1. Log in to IMDS with an account with company administrator rights, and go to the Administration > User menu.

    2. Click the Search button to view the list of existing user accounts.


      3. Select the account to delete, and click the Delete button to remove the account.



      MDS Contact Person Registration

      When sending an MDS, a contact person must be designated.

      This also can only be set up using an account with 'Company Administrator' rights.

      Below is the process to create a contact person.

      1. Log in to IMDS with an account with administrator rights, and go to the Administration > Contact Person menu.


        2. Click the Create button.


        3. Enter the name and email address of the contact person, then click the Save button at the top.


        1. An automatic IMDS email will be sent to the entered email address. Click the link in the email to activate the contact person.

          ※ All information entered when creating a contact person can be modified later. However, if the e-mail address is changed, the reactivation process must be completed again via the confirmation e-mail.

          IMDS Contact Person Deletion

          If the contact person resigns or changes roles, their information must be deleted.

          This can also only be done by an account with 'Company Administrator' rights.

          Below is the process to delete a contact person.

          1. Log in to IMDS with an account with administrator rights, and go to the Administration > Contact Person menu.

          2. Click the Search button to view the list of contact persons.


            3. Double-click the contact person to be deleted to view detailed information.
            4. Uncheck the active checkbox and click the Save button at the top.
            (Note: If the contact person is set as Default, you must change the default person before unchecking active.)


            ※ You can reactivate previously deactivated contact person information by clicking the Send a new confirmation e-mail button below.
